The Booking Email

We send families a Booking Email each time we book an appointment.

This email may advise an offered appointment. You will need to let us know that you can accept that offer within a certain time.

When an appointment is confirmed and booked, we send an email to show

The appointment details:

  • Your child’s name, appointment time, and provider’s name;

  • location for the appointment;

  • various requirements concerning attendance;

  • a link to your Provider’s Fee Schedule.

  • your child’s referral status and expiry date so you can see when you will need a new referral.

Valid Referral & Rebates

To access the advised Medicare rebates, you must ensure you have provided a current referral that we are happy to accept as valid. Further information is provided on the website via this link:  Medicare valid referrals.

Your child must attend their appointment.

Your child must attend their appointment for Medicare claiming and clinical reasons, including on video. They must be present, participate, interact as much as possible and be observable for at least half the appointment duration and sometimes for up to 45 minutes.

Appointment changes

Appointments may need to be cancelled or rescheduled, or the location of the appointment may need to be changed, sometimes at very short notice.

Please ensure you

  • read any further Booking Emails or other emails that are sent;

  • attend to our phone calls or SMS. 

Appointments should be changed to video if your doctor agrees this will be clinically useful and appropriate, instead of being cancelled at short notice, when

  • The patient or parent is unwell with an infectious illness but well enough to be observed, present and participate as needed in a Video consultation

  • The provider is unwell with an infectious illness or otherwise needs to consult by video.

  • For any other unexpected reason that prevents the patient from attending face-to-face.

If a Video Appointment is booked, please

Possible cancellation or delay of a provider’s appointment due to unexpected changes to or closure of their private.

Appointments, especially those with longer wait times, may be unexpectedly delayed or cancelled later by the provider.

In this circumstance, other associated doctors may be able to offer an appointment, but there may be further delay, or an appointment may no longer be possible. 

Earlier appointments may be offered

An earlier appointment may be offered, sometimes at very short notice, especially if your child's needs have been triaged as more urgent. It is important to understand all the information provided in this email and to be ready if that offer is made.  For more details, see the Cancellation List Procedure Information (https://prosperpaediatrics.au/cancellation-offer-procedure)

Please ensure you remain readily contactable and read our emails, SMS and any linked online information.

We only communicate with you for essential reasons. Please read, keep and review all emails and SMS carefully, respond as requested and respond to our phone calls.

Please enter your appointment in your calendar, diary or planner and save the Booking Emails.

Consent to Policies: 

Please review and consent to the policies when starting a new referral or at least every year during the continuation of your healthcare relationship with your doctor at Prosper Paediatrics.

Your provider's policies are summarised and also individually detailed on the website menu "Policies".

Update your child's Demographic File if any changes, including a change of GP, by 

  • The Demographic Form (https://prosperpaediatrics.au/patient-demographic)

  • or notifying us by email {{- your child's Demographic File is attached for you to check}}

Requirements for attending the appointment (detailed on website (Appointment Attendance Menu) include:

  • If your child is seven years or younger, please bring your child's BLUE BOOK (health record).

  • Arrange for both parents to attend if possible, or otherwise share information in accordance with joint parental responsibilities.

  • Manage your child's behaviour in accordance with our requirements and, if needed, organise a carer to help supervise your child.

  • Please do not bring food, drinks or loud games into the rooms.

  • Practice hand, cough and other hygiene behaviours to limit viral transmission risks.

Please don't bring viruses into the rooms.

If you or your child is ill on the day of the appointment or has suffered gastrointestinal symptoms in the previous 48 hours, please contact us before attending.  Illnesses such as Influenza, Gastroenteritis, Bronchiolitis, RSV and COVID-19 can pose very serious risks, especially to infants, small children and other immunocompromised people who may be exposed in the practice. If providers become ill, care for babies and children can be disrupted. Your doctor may require you to attend via Video or reschedule, or they may wish to make special arrangements to minimise the risk of viral transmission to others during the appointment.  Video appointment details are set out above, under "Appointment Changes- Location".

Please email us; this is strongly preferred. If the phones are busy, please leave a voicemail with your child's name. Email is preferred, even for urgent messages.

Please detail your request or inquiry so that we can resolve it it without needing to call you back. Wherever possible staff will respond normally within a few hours. We generally communicate by email.

Our receptionists work together as a team on a shared virtual reception. In working to help you achieve a productive and helpful engagement with your provider, keep fees manageable, protect the sustainability of our services ​and avoid unnecessary delays and disruptions, your cooperation and support are needed and greatly appreciated.
